Privacy Policy

ApplyWise helps you tailor your resume and write job applications. This page explains what personal data we collect, why, where it goes, how long we keep it and the choices you have. In short: we only use your data to run ApplyWise for you, and we never sell it.

Who we are

ApplyWise is run by Soh Wei Yu, based in Singapore ("ApplyWise", "we", "us"). We follow Singapore's Personal Data Protection Act 2012 (PDPA).

What we collect

• Your Google account basics when you sign in: name, email address, profile picture and Google account id. We never see your Google password.
• What you put into ApplyWise: your resume (including any Word file or PDF you upload), your "About me" answers and notes, job descriptions and links, saved jobs, application answers, cover letters, notes and statuses.
• Account records: when you agreed to these terms (and which version), and how many AI credits you've used.
• Anonymous usage stats: page views and general device/browser information through Vercel Web Analytics, which doesn't use cookies and doesn't identify you personally.

Please only add information about yourself. If your resume mentions other people (for example a referee), make sure they're happy for you to share their details.

How we use it

• To sign you in and keep your data tied to your account.
• To generate suggestions, answers and cover letters. When you ask for one, the relevant text (for example your resume and the job description) is sent to OpenAI's API for processing. OpenAI states that data sent through its API is not used to train its models by default, and that it may keep it for up to 30 days to monitor for abuse before deleting it.
• To keep the service safe and fair, for example limiting free AI credits per account.
• To understand which pages are used, so we can improve the product.
• To reply when you contact us.

We use your data only with your consent, which you give when you agree to this policy, and only for these purposes. We don't sell your data, and we don't use it for advertising.

Cookies

We use one essential cookie to keep you signed in. We don't use advertising or tracking cookies, and our analytics don't use cookies at all.

The ApplyWise browser extension

• The extension only reads a web page after you click its button (or choose "Tailor this job in ApplyWise" from the right-click menu). After that, its card stays on that tab and re-reads the job when you switch to another one (for example, clicking a different job on LinkedIn), until you close the card or leave the page. It never reads other tabs or watches your browsing.
• The extension only works while you're signed in to ApplyWise. To check, it asks ApplyWise whether you're signed in and gets back your first name. It never sees your password or sign-in cookie.
• From that page it takes the job title, company, link and job description (or just the text you highlighted). If the description is cut off behind a "See more" button, it opens it to read the rest. When you click "Tailor my resume to this job", it hands them to ApplyWise in a new tab so you can check them. When you click "Save for later", it saves them to your ApplyWise account. Nothing is sent to the AI until you click "Suggest changes".
• To tell you whether you've already saved or tailored a job, it sends that job's link to ApplyWise. It also downloads a small list of where to look on job sites from ApplyWise (this sends nothing about you). It keeps a job in your browser only until the ApplyWise tab picks it up (at most 30 minutes). It has no tracking or analytics of its own and doesn't send anything anywhere except ApplyWise.
• The use of information received through the extension adheres to the Chrome Web Store User Data Policy, including the Limited Use requirements. It is used only to provide the extension's single purpose: sending the job you choose to your ApplyWise account.

Google sign-in

ApplyWise's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We only receive your basic profile (name, email, picture and account id) and use it only to sign you in.

Who processes it

We use these service providers to run ApplyWise. They process data on our behalf, under their data protection terms:

• Google: sign-in.
• Supabase: database where your account data is stored.
• OpenAI: AI processing of the text you ask us to work on.
• Vercel: hosting and anonymous analytics.

We don't share your data with anyone else, unless the law requires us to.

Where your data is processed

These providers may store and process data outside Singapore, including in the United States. When your data is transferred overseas, we rely on the providers' contractual data protection commitments so it gets a standard of protection comparable to the PDPA.

How long we keep it

• Your resume, About me, applications, saved jobs and files: until you delete them. Settings → Delete everything removes them straight away.
• Your sign-in details, agreement record and credit usage: kept so we can show you agreed to these terms and stop the free credits being abused. Email us if you'd like your name and email removed as well, and we'll close your account.
• Copies elsewhere: OpenAI may keep request data for up to 30 days, and deleted data can remain in our providers' backups for a short time until they're replaced.

How it's protected

Your data is only reachable through ApplyWise's server after you sign in, and every request is limited to your own account. The database can't be reached from the browser, and connections are encrypted (HTTPS). If a data breach ever affects you, we'll tell you and the Personal Data Protection Commission as the law requires.

Your rights and choices

• Access and correction: see and edit your data in ApplyWise at any time, or email us for a copy of everything we hold about you or to correct something.
• Delete: Settings → Delete everything, or email us to also close your account.
• Withdraw consent: email us or delete your data. We'll then stop using it, though ApplyWise can't work for you without it.
• Download your resume as a Word file or PDF at any time.
• Revoke ApplyWise's access in your Google account settings whenever you like.

We reply to requests as soon as we can, and within 30 days.

Children

ApplyWise is for students and job seekers aged 13 and over. If you're under 18, please make sure you understand this policy, and ask a parent or guardian if anything is unclear. We don't knowingly collect data from children under 13. If you think a child under 13 has used ApplyWise, email us and we'll delete their data.

Changes

If we change this policy in a meaningful way, we'll update the date above and ask you to agree to the new version before you continue using ApplyWise.
